This checklist will cover the processes of Special Pay Increases (SPI) for Staff and Faculty, Administrative Appointments for Faculty, and Reclassifications for Staff. Special Pay Increases (SPI’s) may only be requested for increased responsibilities, market equity, or bona fide counteroffers. Lorie will approve the appropriate path via email. Lorie will process faculty changes, your DOHR Generalist will process staff changes. Complete PSF once all discussions have taken place.
If SPI is due to increased responsibilities:
Staff
Email position description noting new duties with track changes in place to Lorie for review. At this point in the process, a determination will be made regarding whether SPI or Reclassification is the appropriate course of action to take.
Faculty
Send administrative appointment draft letter to Lorie for review.
If SPI is due to market equity or counteroffer – (Note: Counteroffer is only an option if the other offer has not yet been accepted by employee):
Staff
Request market equity from Lorie and discuss salary consideration.
Faculty
Send Faculty Retention letter to Lorie for review. Lorie can also provide internal market equity data if needed. External market equity data is provided to Lorie by the Dean, as needed.
Bona Fide Counter Offer
Send verification of competing offer, to Lorie for review.
After Discussions Are Completed
| Complete SPI request form for Staff or Faculty. Department will designate effective date for Faculty SPI; UFHR will designate effective date for Staff SPI. | |
| Once all forms are reviewed, approved, and signed at all levels, ePAF(s) should be entered: | Staff SPI for increased responsibilities requires two ePAFs; first, Update Position; then, once approved, Edit Existing Job. |
| Staff SPI for market equity/counteroffer requires one ePAF, Edit Existing Job. | |
| Staff Reclassification requires one ePAF, Update Position (with new salary entered in current incumbents section). | |
| Faculty administrative appointments require quarterly Add Additional Pay ePAFs, once the work has been performed. | |
| Place all fully executed documents in S:Drive and notify appropriate PHHP DOHR contact. | |
